Apricity Supervision ("we," "us," "our") is committed to protecting your privacy in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). This Privacy Policy explains how we collect, use, store, and disclose your personal information.

1. What information we collect

Depending on your interaction with us, we may collect:

  • Contact details (name, email, phone number, postal address)

  • Professional information (AASW membership number, employer, role, qualifications)

  • Session-related information, including notes made in relation to supervision sessions

  • Payment and billing information

  • Communications between us (emails, messages, forms)

  • Technical information collected automatically through our website (e.g. IP address, browser type, pages visited)

We do not collect information about your clients. Supervision is a reflective practice space, and you are encouraged not to share identifying client information during sessions.

Our services are intended for professional practitioners and are not directed at children. We do not knowingly collect personal information from anyone under 18. If we become aware this has occurred, we will delete that information as quickly as possible.

2. How we collect information

We collect personal information:

  • Directly from you, when you make an enquiry, book a session, or communicate with us

  • Through Halaxy, our practice management platform, used for bookings, invoicing, and secure client records

  • Through Doxy.me, Zoom, and Google Meet used to deliver online sessions (see Section 5)

  • Through our website, hosted on Squarespace, including any enquiry or contact forms you submit

3. How we use your information

We use your personal information to:

  • Provide and manage clinical supervision services

  • Process bookings, payments, and invoicing

  • Communicate with you about your sessions or our services

  • Meet our professional, legal, and regulatory obligations, including AASW requirements

  • Improve our services and website

Marketing communications are only sent if you've requested or subscribed to them, and you can opt out at any time.

4. Disclosure of information

We do not sell or trade your personal information. We may disclose information to:

  • Halaxy, as our practice management and booking platform provider

  • Our accountant or bookkeeper, for financial administration

  • Zoom, Doxy.me, Google Meet, solely to facilitate delivery of online sessions

  • Regulatory or professional bodies (such as AASW), where required by law or professional obligation

  • Legal or governmental authorities, where required by law

Any service providers we share information with are required to handle it consistently with this policy and applicable law, and are not permitted to use it for any other purpose.

If Apricity Supervision were ever to undergo a change of ownership or structure (for example, a sale or merger), your information may be transferred as part of that transaction, but only under a confidentiality agreement and consistent with this policy.

5. Online session delivery

Supervision sessions delivered online use Zoom, Doxy.me, Google Meet, that are third-party video conferencing platforms. Zoom, Doxy.me and Google Meet have their own privacy policies and security measures, and by participating in an online session, you acknowledge that data is transmitted through this third-party service. We use these platform's security features, including waiting rooms and meeting locks, to protect session privacy, and do not record sessions without your explicit consent.

6. Storage and security

Personal and session-related information is stored securely through Halaxy's cloud-based platform, which maintains its own security protocols. We take reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification, or disclosure. Session notes are retained for 7 years from the date of the last session, in line with professional record-keeping obligations, after which they are securely destroyed.

In the event of a data breach involving your personal information, we will notify you promptly in accordance with our obligations under the Privacy Act 1988 (Cth), including the Notifiable Data Breaches scheme where applicable.

7. Overseas disclosure

Some third-party platforms we use, including Zoom, may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure these providers handle your information consistently with the Australian Privacy Principles, and encourage you to review the privacy policies of these third-party providers directly.

8. Access and correction

You may request access to the personal information we hold about you, and request correction of any inaccurate, out-of-date, or incomplete information. Requests can be made using the contact details below, and we will respond within a reasonable timeframe.

9. Testimonials and publicly shared information

Any information you choose to make publicly available- such as a testimonial you provide for use on our website- will be visible to others. If you later ask us to remove it, we will do so from our own website promptly, though copies may remain in cached or archived versions of pages beyond our control.

10. Links to other websites

Our website may contain links to third-party websites for your convenience. These links do not constitute endorsement, and we are not responsible for the privacy practices of external sites. We encourage you to review the privacy policy of any site you visit.

11. Cookies and website analytics

Our website, hosted on Squarespace, may use cookies and similar technologies to understand website usage and improve user experience. You can control or disable cookies through your browser settings.
